When you manage users in Azure AD you sign in first with your global admin rights. I open the portal and head straight to the users area. You click add user and fill in the basics like name and username. Then I assign a license right away so they can use the services. But sometimes you wait on that step if the budget needs checking. Or perhaps the department head needs to approve first. Now you set the password options and decide if they reset it themselves. I always turn on multifactor authentication next because it stops most break ins. You pick the methods that fit the user like phone or app. Also I check the sign in logs later to spot weird activity. Then you might block a device if something looks off.
Perhaps you group them together for easier permission handling. I create groups based on job roles or projects. You add members manually at first but switch to dynamic rules when the company grows. But rules can glitch so I test them on a small batch. Or you link groups to apps for automatic access. Now the roles come in when someone needs extra power like billing access. I assign those carefully and review every month. You revoke old ones fast if a person switches teams. Also password resets happen often so I set up self service for that. Then you audit changes through the reports section to keep track.
Maybe you sync from on premise directories if the setup mixes systems. I use the sync tool and watch for errors in the logs. You fix duplicates by merging accounts manually when they pop up. But conflicts arise from name mismatches so I clean data beforehand. Or perhaps you export lists to compare against other tools. Now conditional policies limit access based on location or device. I build those step by step starting simple. You test with your own account to avoid locking everyone out. Also license management ties in because over assigned ones waste money. Then you remove unused ones during quarterly checks.
I find that searching the activity feed helps spot who changed what. You filter by date and user to narrow it down quick. But big companies have tons of events so I focus on admins only. Or you export to a spreadsheet for deeper looks later. Now training juniors like you means showing the portal live. I let them try creating a test user under my watch. You ask questions and I explain the gotchas from my own mistakes. Also backups matter for the whole setup though we skip that talk here.
